Finance and Administration Officer

Job title: Finance and Administration Officer
Salary level: D-496 US
Location: Port Sudan – Red Sea State, Durdeib locality
Reporting to: Project Coordinator/ Finance support Manager
Overall Purpose: The Finance/ Admin Officer is expected to provide oversight over IAS/Port Sudan project office Local financial management and administration management for the base.

Organization Overview: International Aid Services (IAS) is a Christian non-political and non-profitable International relief and development organization in 1989 with the purpose Of assisting in need. IAS Sudan programmes in Sudan, Sothern Kordofan, Western and Southern Darfur and Red Sea with particular focus on water and sanitation.

Closing Date: Monday 2018/10/8

Major Objectives:

•        Responsible for IAS Journal On daily basis on IAS system and other related documents and up of invoices (checking the validity Of invoice, the amount, stamp, Signature and description Of purchase English).

•        responsible of cash count On regular base

•        Disburse Of funds, expenses claims and ensure petty cash system, invoices and financial transactions in line with financial policies and procedures

•        Perform full set of accounts closing, Bank reconciliations, Cash reconciliations and Liaising with banks for all finance matters and transfer.

•        Ensure staff timesheets are accurate and submitted to Khartoum office on monthly basis for payroll processing.

•        Ensure payment Of Social Insurance. Personal Income Tax and all related governmental fees.

•        Prepare monthly Financial Statements (Balance Sheet. Trial Balance, Income Statement and Cash now Statement) and submitted to Khartoum on a monthly basis.

•        Assist in Budget preparation and expense management activities for assigned accounts.

•        Liaison with Khartoum office to ensure thorough accurate and timely internal audit.

•        Ensure all projects records/documents are accurate and clearly presented information within required timescales.

•        Maintain fixed asset register.

•        Maintain the purchase order system.

•        Act as a point of contact for information and responding to enquiries by telephone, email, text, in person by local residents.

•        Routine correspondence and general administration security .

•        Update and maintain filing system.

•        Ensuring confidentiality and professional integrity is upheld at all times.

•        Update the directions and internal reporting regarding Admin/and Human Resource for Validation by Khartoum office and disseminate all IAS rules and regulations to the staff.

•        Perform any other duties assigned by Finance Manager and project Coordinator.

Minimum Qualification / Experience:

•        Bachelor degree in Accounting, Finance, Business Administration or other related field.

•        2-3 years working experience with an INGO

•        preferably with any accounting system

•        Strong communication skills in English oral, writing.

•        Proficient in computer application such as Word and Excel.

Work Conditions:

Based in Durdeeb/ Port Sudan. The position requires frequent travel to field within Red Sea State but also head office in Khartoum.
