A Construction company would like to announce for the following chances:

 SECERTARY AND DOCUMENT CONTROLLER

Secretarial responsibilities:
Provide office support services in order to ensure efficiency and effectiveness within the Company Office Main Activities
Receive, direct and relay telephone messages and fax messages
Direct the general public to the appropriate staff member
Maintain the general filing system and file all correspondence
Assist in the planning and preparation of meetings, conferences and conference telephone calls.
Make preparations for all meetings concerning the company.
Maintain an adequate inventory of office supplies.
Prepare all the offers to be sent to clients.
Respond to public inquiries.
Provide word-processing and secretarial support.
Type confidential documents on a word processing system.
 Provide support to the Chief and the organization in general.
Assist the Chief and the organization in general requested.
Provide administrative services for the Chief and the organization in general.
Perform other related duties as required.
Document controlling  responsibilities:
 Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
Assist in the planning and preparation of meetings, conferences and conference telephone calls.
Data Entry of Tests Results and Preparation of Technical Reports.
Preparation of Tenders Documents.
Archiving of Equipment, Documents and Technical Reports.
Follow up company emails
Preparation of letters.
Input document data into the standard registers ensuring that the information is accurate and up to date.
Generate the various document control reports as required.
Typing of site documents, and follow up of all the site needs .
Maintain the general filing system and file all correspondence.
Type confidential documents on a word processing system.
Provide support to the Chief and the organization in general.
Assist the Chief and the organization in general requested.
Provide administrative services for the Chief and the organization in general
Perform other related duties as required.
Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable.
Maintain updated records of all approved documents and drawings and their distribution clearly.
Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
Maintain the files and control logs as required by the project.
Knowledge:

The incumbent must have proficient knowledge in the following areas:

English language.
Office administration.
An understanding of relevant legislation, policies and procedures.
Microsoft office software.
